Team meetings can be very effective at improving the quality and quantity of your services.

At best, they bring everyone into alignment with the goals of the practice. They can release energy that results in sometimes almost magical results. I have seen it!

Here are some key tips for improving chiropractic practice team meetings:

1. Set Clear Goals and Structure

    • Hold weekly meetings, ideally on Mondays to start the week strong
    • Limit meetings to 1 hour maximum
    • Create a consistent agenda covering key areas like practice goals, statistics, department updates, etc

2. Encourage Participation

  • Require all staff to attend and come prepared to participate actively
  • Allow time for each team member to report on their department
  • Create an open forum for discussion and suggestions

3.  Focus on Improvement

  • Review practice statistics and track progress on goals
  • Discuss what’s working well and what needs improvement
  • Develop action plans to address any issues

4. Boost Motivation

  • Start with positive affirmations or recognizing accomplishments
  • Highlight exceptional work by staff members
  • Share patient success stories to reinforce the practice’s mission

5. Maintain Professionalism

  • Avoid criticizing individuals or changing policies during meetings
  • End on a positive, inspirational note
  • Follow up on action items and “to-do” lists from previous meetings

By implementing these strategies, you can transform your team meetings into productive, energizing sessions that align your staff and drive practice growth. Regular, well-run meetings are crucial for improving communication, motivation, and overall practice performance.

Use the Learning Pyramid for a Better ROI in Your Chiropractic Healthcare Practice

As the Clinic Director of your chiropractic and healthcare practice, you instinctively know that if you are not continually improving the service to your patients and potential patients, they will go to practices that are.

In fact, if you do not provide the BEST outcomes and service in your area, patients and potential patients will look for other practices that are the best, or at least better than you.

The BEST health care practice wins in the long run.

So, how do you get to be the best?

By constant improvement!

This was the concept the Japanese pushed in the 1970’s with their cars. They called it Kaizen.

Speaking of Japan, there was a study that showed how many hours employees trained over a 6-month period. Japan spent an average of 364 hours, Europe averaged 178, and the U.S. a paltry 42.* I discuss this more in my book, The Goal Driven Business. (pg 156)

The formula for improvement is simple: study and train.

The purpose and goal of training is improvement. This is why professional athletes and musicians constantly train. They do this for improvement and, ultimately, to bring about a good return on their investment.

Improvement has a definite ROI! A study by the Associate for Talent Development found that companies offering comprehensive training programs have 218% higher income per employee compared to those without formalized training.*

But what are the best methods for training — reading, listening, podcasts, seminars?

USING THE LEARNING PYRAMID TO TRAIN YOUR CHIROPRACTIC TEAM

The Learning Pyramid* illustrates the percentage of knowledge retained through various learning methods. Here are the typical percentages associated with each method:

  1. Lecture: 5%
  2. Reading: 10%
  3. Audio-Visual: 20%
  4. Demonstration: 30%
  5. Discussion: 50%
  6. Practice by Doing: 75%
  7. Teaching Others: 90%

This model emphasizes active participation in the learning process. Teaching others or practicing by doing, leads to higher knowledge retention rates compared to passive methods like listening to lectures or reading.

If you take your team to a seminar, do it for camaraderie and the sense of being part of something bigger. It can be motivational. But then, ensure that they take notes from one of the presentations and then teach it to the rest of the team at the next staff meeting.

Another angle is to have team members select a chapter from a book you all are reading (from your Lending Library!) and then have them teach it to the rest of the team a month later.

Train on your procedures every month. For example, you could demonstrate how you would like a patient to be positioned on a therapy table. (Get it recorded for future reference!) Then, have a staff member demonstrate the procedure back to you. You can also pair people and role-play the procedure. Do this for any of your office procedures. For those of you in group practices, doctors can practice their procedures.

BALANCING INFORMATION WITH PRACTICAL APPLICATION

The idea is that there are two sides to the learning coin: the information side and the practical application side. You can’t learn how to throw a fastball from reading a book. You must find a baseball and someone brave enough to catch your pitches and practice throwing hundreds of times. However, a book may have useful information on improving your throwing technique from those who have done it more than you.

It is best to go over the idea of training and improvement with your team first so they understand what you are doing and why.

Keep training fun. Your manager should ensure that training occurs every month.

And like Clarence Gonstead said:

“Practice. Practice. Practice. Never stop.”
“Our future will be our results.”

More Chiropractic Jokes Please!

In the late 80s, when I took my son to his first adjustment, I noticed bold but innocent cards on the doctor’s front desk counter.

They said, simply, KEEP SMILING.

Over the years, I have often seen this card at chiropractic events and offices – almost as a chiropractic tagline: KEEP SMILING!

I would love to know the history of this phrase, and if anyone knows, please come over to the Blog and explain it, or hit reply with the info and I’ll share it with your permission.

I have seen it on a chiropractor’s envelope from the 20’s, so I know it goes back a while.

SMILING MAKES YOU HAPPIER AND HEALTHIER

Getting those smiles out will improve your mood and improve your health.

But smiling can also improve your practice.

A happier office will have better performance.

2 METHODS TO SMILE MORE IN YOUR CHIROPRACTIC HEALTHCARE OFFICE

Old School Trick: Front Desk Mirror

Place a mirror facing towards the staff on the front desk. It should be so that it can be seen by whomever is working at the desk and answering the phones.

Place a caption on the bottom of the mirror. Something like: SHOW YOUR TEETH!

People can tell if you are smiling when they talk with you on the phone.

Morning Meeting Jokes

For your morning case management meetings, one person is assigned to tell a joke. The next day, it is someone else’s turn to tell a joke. Each team member must tell a joke.

Yes, the jokes are usually dumb, and it can be embarrassing. But it is also can be funny!

And besides, there is B.J. Palmer’s Rule Number 9:

“Don’t take yourself too damn seriously.”

So, that’s it.

Don’t be so serious!

Smile more, and you’ll find more things to smile about.

I felt he was always trying to manipulate me.

It was about a weak back.

Went to see my chiropractor for the first time in a long time.

First thing he said when I walked into his office was “Glad to see your back!”

How many chiropractors does it take to change a light bulb?

Only one, but it takes 24 visits.

Good friends are like chiropractors.

One thing I have learnt this year is to never trust acupuncturists

They’ll stab you in the back the first chance they get.

My dentist mocked me today, saying that even though he’s much older than me, he has healthier teeth.

I said it must be because he has the better dentist.

Are You Looking at All Your Statistics?

As one year ends and another gets ready to launch, I look back at our clients’ numbers and see that, for the most part, everyone’s numbers went up.

And these are not new offices. Their increases were not because of a snazzy ad campaign or a motivational seminar. Their numbers increased because of their hard work, courage, sacrifices, and love. I am sure the same is true with you and your practice as well: because of the wonderful improvements your patients experience, as a byproduct, your numbers for this year also went up.

But maybe not. Maybe not this year.

Maybe your practice numbers did not go up?

Well, you may not be accounting for all of your positive outcomes. For example:

** Our goal with one office was not to increase their numbers, but just to keep them from going down the drain. The successful outcome was no bankruptcy! Positive numbers did not go up, but negative cash flow numbers did not occur.

** One business owner I worked with, whose numbers had gone up for a few years, but had recently dipped, was able to take a vacation for the first time ever. In fact, because of additional providers, was able to leave for a few weeks. Practice numbers did not go up, but vacation and personal statistics did!

** One practice owner saw her numbers go down. She had her third child and would have gone down further had it not been for the work we did on bringing on another provider who she deftly managed. Family numbers went up!

We do manage by the numbers as these are objective and because so much conventional management is done through emotion, bias, new but dumb ideas, or other weird standards.

But not all accomplishments show up on the standard practice scoreboard. You would need a different set of statistics and a different scoreboard for family, personal, and organizational outcomes.

• Maybe you spent time training in a new clinical technique.
• Maybe your staff spent extra time training and becoming more proficient.
• Maybe you were able to see more of your child’s activities.
• Perhaps you and your spouse finally went on that vacation.

Business building can be understood by the Law of the Farm (Also Law of the Harvest). As Steven Covey says:

“The only thing that endures over time is the ‘Law of the Farm.’ You must prepare the ground, plant the seed, cultivate, and water if you expect to reap the harvest.”

I like this analogy because it shows that so much is involved in producing what finally ends up in your grocery store.

Yes, you reap what you sow. But the sowing itself is an accomplishment that needs to be recognized and acknowledged. If you keep building and nurturing all aspects of your business, including your skills, your people, and your procedures, both in and out of the office, and stay aligned with your mission, your production numbers will improve.

You might take some time this month to look at all the gains you have made that might not show up on the bottom line.

Celebrate ALL your positive improvements in 2023, and prepare for a prosperous 2024.

Who Do You Work For in Your Chiropractic Healthcare Office?

Patients come second.

As a doctor, you work for your patients.

As a business owner, you work for the business end of the practice.

Both of these roles have different outcomes. As the doctor, your outcome is healthy and very happy patients. As a business owner, you want to see a profit.

When you begin your practice, you do so as a business owner and doctor. Any management or leadership you do is done from these roles. I call this an Entrepreneurial or Personality-Driven Practice. This is workable until you reach about 50% of your full capacity as a provider.

Beyond about 50% capacity, the practice needs focused leadership and management. It is time for you as the owner to step into the role of Clinic Director if you want your enterprise to continue to grow.

The outcome of the Clinic Director is not the same as that of doctor or business owner. In simple terms, the outcome is a well-run organization that provides excellent service at a profit.

So, who does the Clinic Director work for?

The staff! The employees. This is called servant leadership and management.

This is a major shift in mindset for most highly driven entrepreneurial business owners. But it can be done, and if done correctly, there is no limit to practice growth, prosperity, and independence.

SOUTHWEST AIRLINES

Customers Come Second, Employees Come First

Year after year, Southwest Airlines ranks at the top for customer service and profitability over other airlines. And for good reason. They are excellently managed and led!

Their goals, purpose, and values are well-defined. They are a Goal Driven Business.

In their book about Southwest, authors Keven and Jackie Freiberg reveal that Southwest believes that the love and support they show their employees will be passed on to their customers. Servant leadership is a central theme.

Chapter 18 of their book caught my attention: Customers Come Second — But Still Get Great Service. In it, they say at Southwest, “Treat your employees with care and concern if that is the way you want them to treat each other and your customers.”

WHAT YOU CAN DO NOW TO IMPROVE SERVICE AND INCOME IN YOUR CHIROPRACTIC HEALTHCARE PRACTICE

I use Southwest as an example, but there are many others.

In a smaller service company like a chiropractic or dental business, the doctor doesn’t have much time to be the Clinic Director or senior manager, isn’t paid (at least directly) for being one, and isn’t trained in management. Also, more than likely, doesn’t want to be a manager or leader. But what if there was a simple method to be an effective Clinic Director?

Well, there is. It is covered in my book, the Goal Driven Business, and is gone over in detail in our Practice MBA training program. In 2024, I will post more information on this subject and the Fast Flow CEO Method, as I am 100% certain that this is the stumbling block behind all stumbling blocks that keep practices from achieving greatness.

You can do this now:

  1. Define and communicate your goals and procedures. These need to be reviewed, in one form or another, by everyone weekly.
  2. Clinic Director. Set time aside as the senior coach of your team to develop your people professionally, and as you can, personally.

If you put your team first, they will put the patient first.

This is, when all is said and done, the Golden Rule.

Or perhaps… we could also call it the Goal Driven Rule!

The Value of Creating a Practice Community

Where everybody knows everybody else’s name

Do your patients consider your practice so cool that they want to hang out with you more?

Do they come in early just to soak in the vibes and chat with other patients?

Do you have a practice club?

There are sizable benefits to creating and sustaining your own practice community. The fact is you probably loosely have one already. It is a rich resource that, if better organized and cultivated, can improve patient retention and referrals.

People want to be part of something larger than themselves. This includes belonging to a group whose values they share. Edward Deci, Ph.D., says it is an intrinsic, innate motivation we all have.

A practice club, or organized community relations program, strengthens your connection with each patient. But in addition, it builds relationships between your patients and even non-patients who are supportive of your practice.

I grew up in a small farm town. We had a very busy barbershop. It was always full of men, smoking cigarettes and talking to the barbers – and each other – about the comings and goings of our small town. I think my dad dropped in at least every other day. The barbershop had created its own interactive and slightly exclusive club.

As a more organized example, the motorcycle company Harley-Davidson established the Harley Owners Group, nicknamed HOG. You must own a Harley motorcycle to belong, and then you are eligible to attend many events the company sponsors and receive discounts on all its products. I know a few HOG members, and they are loyal to the brand and share a bond with each other. And they are active, servicing their bikes and using Harley products.

Organizing Your Community

You can sponsor your own “rallies” and probably have. Patients attend, see you and your staff outside the office, and get a chance to talk. But even more, they can connect with other patients. This is how your practice network strengthens.

You can better organize your community by delegating someone to be your Community Services Coordinator for a few hours every month. They would plan and implement various events, with everyone on staff would participating.

In addition, they could start an online club, such as a private Facebook Group. Your patients would be invited to join, as well as local businesses who share your values.

In my experience, most community-building efforts rarely amount to much because there is no one in charge to keep the group energized. Events are “one and done,” with little follow-up. This contributes to the Practice Roller Coaster effect. They do work at generating referrals and improving retention, for a while, but the energy created ebbs away.

Authentic newsletters, events, phone calls, a social media group, success stories, and special bonuses help keep the community humming along.

Network Effects

Network Effects is an economic term. It simply means that the more people use a company’s product or service, the more valuable it becomes. The larger your network becomes, the better the service improves. And the better your services improve, the larger your network becomes.

It is momentum related. Think of a flywheel or pushing a car with a dead battery. (ugh). Once you get it going, the going gets easier.

From my favorite HOG advertisement:

“It’s a free country. Live like it.
Screw it, let’s ride.”

Medicare Part B Premium Jumps Dramatically for 2022

stethescope on calculator Kiplinger recently shared information from the Centers for Medicare & Medicaid Services reporting that Medicare Part B premiums will jump dramatically in 2022. An increase of 14.5% or $21.60 from 2021. Deductibles will also show an increase of $30.00 going to $233 in 2022.

The article goes on to say that Medicare Part A will also see an increase in deductibles.

Medicare claims “the increases were due in part to rising health care costs and higher utilization of health care services.”

They further stated, Aduhelm, a prescribed Alzheimers drug was also to blame.

Wisconsin License Renewal Requirements – 2020

REMINDER:  Wisconsin License Renewal Credentialing Requirements

*Please Note:  Due to the pandemic, usual and customary continuing education requirements are waived this biennium.   However, even if you did not complete your hours, you still need to renew your license.

A review of the usual requirements follow:

Doctors of Chiropractic (DCs):

  • Continuing Education: Forty (40) hours minimum of state board-approved courses; four (4) of the 40 in nutrition
  • Maintain Current CPR

Chiropractic Technicians (CTs):

  • Continuing Education: Six (6) hours minimum of state-board approved courses

AMA Releases New Reimbursable CPT Code Relevant to Chiropractic During Pandemic

Here is some new information from our insurance expert Lisa.

Th AMA just released CPT Code 99072 which is relevant to chiros for the reimbursement for cleaning supplies, hand sanitizers, wipes, sprays. ect.

What we know:

99072 is a special services billing code, used for additional supplies, materials, and clinical staff time over and above those usually included in an office visit or service.  The code captures practice expenses during a Public Health Emergency such as:

  • Checking patients for symptoms upon arrival
  • Time involved in applying/removing PPE
  • Performing additional cleaning of exam rooms, equipment, supplies
  • Three surgical masks
  • Cleaning supplies such as hand sanitizers, disinfecting wipes, sprays, cleansers.

FAQ

Q:  What is the reimbursement for this code?

A:  Reimbursement information is not available at this time.  We will continue monitoring future communications regarding reimbursement.

Q:  When is this effective?

A:  Immediately.

Q:  How much should I charge?

A:  This all depends on what you paid for the supplies, what you pay your staff per hour, and taking into account how much time you spend on the additional activities.  Our estimated calculation comes out to around $4-$5 per billing encounter, but this is an example estimate.

New ABN Form Released – Effective 8/31/2020

The Centers for Medicare and Medicaid Services(CMS) recently released a new ABN Form.

The ABN, Form CMS-R-131, and form instructions have been approved by the Office of Management and Budget (OMB) for renewal.  The use of the renewed form with the expiration date of 06/30/2023 will be mandatory on 8/31/2020.  We are including the links to the forms for your convenience and they can also be viewed at the CMS Web-site.
